How this website handles your data

This website belongs to Karna International, Village Balloke, Bachan Singh Marg, Haibowal Kalan, Ludhiana, Punjab, India – 141001. For anything about your data, email info@karnainternational.in.

The quote form collects:

• your name, company, email address and country, and your phone number if you give it;
• what you want quoted: products and quantities, notes, a description of a custom part, and any standard, material, finish, delivery terms or target date you choose;
• any drawings you attach.

With each request we also record:

• the date and time;
• your browser’s user agent, the line that names its browser and operating system;
• a scrambled form of your IP address, made with a one-way keyed hash. We never store the address itself.

We use your details and your request to prepare a quote and to reply to you. The scrambled IP address lets us limit how many requests one network can send, to keep out spam, and the user agent helps us recognise automated requests. We check that each drawing is the kind of file its name says, and scan it for viruses before anyone opens it (see below).

To get our product catalogue or company profile, you give us your first and last name, your company and your email address, and your phone number if you choose. We email you a link to the document; it works for 7 days and opens the document in our viewer, where you can download the PDF.

With each request we also record:

• which document you asked for, and the date and time;
• your browser’s user agent and a scrambled form of your IP address, as for quotes;
• whether your address is at a company or a personal email provider, so our sales team can prioritise.

To keep out mistakes and misuse, we check that your address isn’t at a temporary or disposable email service, and look up its domain in the public DNS to confirm it can receive email. We don’t contact your mail server or check the address itself.

If you ask for a document again with the same address, we keep one record of you and add the new request to it. Our sales team gets a short email when someone asks for a document for the first time.

The link we email is tied to your request, so what happens in the viewer is tied to you. Once you scroll, tap, click or type in it, the viewer records:

• that you opened the document;
• which pages you looked at, and for how long;
• whether you downloaded the PDF.

We use this to understand which products interest you, so we can follow up usefully. The viewer sets no cookies: it tells your visits apart with a random number that lasts only as long as the browser tab. Nothing is recorded when an email security service opens the link to check it, and it isn’t used up: you can open it as often as you like until it expires.

We send you occasional product updates only if you tick the box on the download form, which reads: “Send me occasional product updates from Karna International.” It is never ticked for you. When you tick it, we record that you did, when, and the exact wording you agreed to.

Every product update email has an unsubscribe link. You can also stop them at any time by emailing info@karnainternational.in. Leaving the box unticked on a later download doesn’t cancel an earlier yes; use either of those instead. When you unsubscribe, or mark one of our updates as spam, the record of your consent here is updated to match.

We use service providers for each of these, and describe them here by what they do:

• Our database provider holds your quote requests, download requests and viewer records.
• Our file storage provider holds your drawings in a private store. They can only be opened through the links in our own copy of your request. Our documents are kept there too, and open only through the links we email.
• Our virus scanning provider runs our virus scan. Each drawing you attach is copied to a temporary machine, checked with an open-source virus scanner, and deleted from it straight away. We link to a drawing only once it has been scanned clean; one the scanner flags is kept aside and never linked.
• Our email delivery provider sends our emails: for a quote, your full request, with links to the drawings, to our inbox, and a confirmation with your reference and a summary, without the drawings, to you; for a download, the link to you and, the first time, a short note to our inbox; and product updates, if you ask for them.
• Our email provider runs our inbox, which keeps the copy of your request delivered to us, and any emails you send us about it. A weekly backup of our quote requests and download details is also emailed to a restricted mailbox there, so nothing is lost if a service fails.

These providers, like our hosting and analytics providers, are located in the United States. Requests about your data are handled by Karna International staff in India.

Only the people at Karna International who handle quotes and sales. We don’t sell or share your personal details. The only third parties involved are the service providers described on this page: hosting, database, file storage, email delivery, virus scanning and analytics.

We keep quote requests and drawings for as long as we need them to handle your enquiry and any order that follows. We keep your download details, your requests and what the viewer recorded for 24 months from your last activity with us (a request, or reading a document), unless you ask us to delete them sooner. We delete any of it when you ask us to.

Products you add to a quote are kept in your browser’s local storage, on your device, so the list is still there when you come back. It reaches us only when you send the request, and it is cleared once you do. After sending, a short summary stays in the browser tab so the confirmation page can show it; it goes when you close the tab.

We count visits ourselves, in our own database, without cookies. For each page you see we record the page’s address (never anything after a “?” in it), the name of the site you came from, your country, whether you’re on a phone, tablet or computer, and a visitor code. We also record when you press play on one of our films and when it starts playing, and what you type into the product search, with how many results it found, so we can see what people look for and don’t find.

The visitor code is a one-way hash of your IP address and your browser’s user agent, mixed with a random value that changes every day. It tells one visitor from another within a day. We delete each day’s random value after two days, and from then on the codes can’t be traced to anyone, even by us. We never store your IP address or user agent for this, so these counts hold nothing that identifies you, and we keep them. Visits from our own staff aren’t counted.

For a short time we are also running a second analytics service alongside, to compare. It uses no cookies. For each page view it records the page address, the page you came from, an approximate location (country, region and city), your browser, your operating system and the type of device. Visitors are told apart by a hash of the request, which the provider discards after 24 hours, and we see only totals. The quote reference on the confirmation page, and the link in the document viewer’s address, are removed before a view is counted.

Our hosting provider serves this website. Like any host, it handles the requests your browser makes, including your IP address, to deliver the pages.

This website doesn’t set cookies. Our fonts are served from this site, not from a font service. Our two films are hosted on an external video platform and play in its privacy-enhanced mode: nothing loads from it until you press play, and once you do, the platform’s own privacy policy applies.
